Description

This interface is used to send emails to profile owners by different criteria. 

Warning

If, until the present time, announcements of conferences have been made to all profile owners (with AND WITHOUT accounts) across the whole of the Repository, there are currently close to 10,000 individual profiles in the database and general announcements to all profile/account holders are therefore discouraged.

In line with the promise to profile owners to use their e-mail addresses only in connection with the conferences they have personally indicated, the e-mail utility must be used with extreme care:

General – announcements to all profile and account owners on general JACoW matters – to be agreed by the JACoW Chairman/SPMS Administrator

Conference Specific – conference announcements should be made to account holders only, and only to the conference for which the announcement refers.

This screen should in future contain the possibility to identify profile owners and account owners.

It may be necessary to make the E-mail utility Conference-specific and limit the privileges of Administrators to prevent abuse.

Mailing List (the different conferences, members of the JACoW collaboration).
Affiliations
Country
Region
Affiliation Type

The purpose of the e-mail should be entered in the “Subject” line and the text of the message in the box, using the substitution parameters to personalize mails.

Clicking on the Submit button shows a preview of the mail and then the possibility to send, or to view an example.

It should be noted that a number of the profiles in the repository may still contain erroneous or hypothetical e-mail addresses.  This may be due to several reasons, for example:

-          The individual creating the profile enters an erroneous e-mail address by mistake

-          An individual may have changed institutions and the e-mail address is no longer valid

-          E-mail addresses are a required field when creating new profiles; these can be created by primary authors entering co-authors, who do not always verify this data
